Why use a short-term rental cleaning checklist

A checklist gives owners, housekeepers and managers a shared standard: what to clean, which supplies to provide and what to inspect before check-in. A written list helps staff cover every task across shift changes and spot issues before guests arrive, reducing the need for return visits, rework and the cost of arranging them.

Below is a ready-to-use list of 50 checks across seven areas. Use it as the basis for housekeeper instructions and adapt it to the property. Before starting, confirm guest numbers, inventory, the readiness deadline and appliances; remove checks for equipment the apartment does not have.

How to define room-by-room cleaning standards

A short checklist before arrival

If you need a short checklist for short-term rental apartment cleaning, use this procedure. Below is a detailed check of each zone and explanations for the housekeeper.

  • Check the next check-in time, address and instructions for the property.
  • Inspect the apartment and report forgotten items or damage.
  • Replace linen and towels, clean bedroom and living areas.
  • Wash the kitchen, check the refrigerator, dishes and garbage.
  • Clean the bathroom and replenish essential supplies.
  • Check the lights, equipment, keys and entrance area according to the property standard.
  • Take photographs of required areas after cleaning.
  • Submit the checklist and photo to the manager for verification before check-in.

Mark only work that has actually been completed. If a fault or missing supplies prevent completion, record the reason and inform the manager. Follow surface and appliance instructions when choosing cleaning products and methods.

Preparation and property inspection

  • Confirm the address, next check-in time and task instructions.
  • Prepare clean linen, towels, equipment and the agreed supplies.
  • Air the apartment if weather and property rules allow.
  • Check rooms and storage for belongings left behind; hand any finds to the responsible person under the property procedure.
  • Photograph damage and heavy soiling before cleaning and inform the manager.
  • Collect rubbish from every room and deal with leftover food under the property rules.
  • Keep used textiles separate from clean linen and prepare separate bathroom cleaning equipment.

Bedroom and sleeping areas

  • Strip used linen and inspect the mattress, pillows and protectors for stains and damage.
  • Check that fresh linen is dry, clean and undamaged.
  • Replace the sheet, pillowcases and duvet cover; make the bed to the property standard.
  • Prepare additional beds and linen sets for the booked number of guests.
  • Wipe bedside tables, lamps, switches and accessible surfaces.
  • Inspect wardrobes and drawers, wipe shelves and check that hangers are available.
  • Remove dust and debris under the bed, vacuum and mop the floor with a suitable product.

Living room

  • Inspect the sofa and armchairs and remove crumbs and debris between cushions.
  • Wipe tables, shelves and accessible furniture surfaces.
  • Clean remotes, door handles and switches using a method suitable for each surface.
  • Test the lights, television and remote; report faults to the manager.
  • Return furniture, cushions and amenities to their designated positions.
  • Vacuum rugs and floors and mop hard flooring so it is free from marks and sticky residue.

Kitchen and appliances

  • Clean worktops, the kitchen table and splashback; remove crumbs and grease.
  • Clean the sink and tap, clear the drain strainer and check that water drains.
  • Clean the cooled hob and check that no food residue remains.
  • Inspect the oven and trays; clean them according to appliance instructions if used.
  • Remove food from the fridge under the property rules and wipe shelves, seals and the handle.
  • Clean the microwave inside and out and wash the turntable.
  • Empty old water from the kettle and check the kettle and coffee area are clean.
  • Wash and dry crockery and cutlery; check quantities and look for chips.
  • Check cupboards and the dishwasher; remove dirty dishes and food debris.
  • Clean the bin if dirty, fit a fresh liner and replenish tea, coffee and kitchen supplies from the inventory list.

Bathroom and toilet

  • Clean the basin, shower or bath; remove hair, soap residue and deposits.
  • Clean the toilet inside and out, including the seat, flush button and base.
  • Wipe mirrors, taps, shelves and handles without leaving streaks.
  • Check drainage, the toilet flush and any visible leaks.
  • Replace towels and the bath mat with clean ones to match the property standard and guest count.
  • Replenish toilet paper, soap and toiletries in the agreed quantities.
  • Clean the bathroom bin, replace the liner and remove used toiletries.
  • Mop the floor and check corners, behind the door and for any unpleasant smell.

Entrance, balcony and extra areas

  • Wipe the entrance door, handles, mirror and storage shelf.
  • Clean the doormat, mop the entrance floor and inspect the coat cupboard.
  • If there is a balcony, remove rubbish, wipe the furniture and check the floor is clean.
  • Check the washing machine and drying rack for forgotten laundry and clean visible dirt.
  • Compare spare supplies and extra amenities against the property inventory and note shortages.

Final check before guest arrival

  • Walk through without cleaning equipment and check for dirt, hair, streaks and unwanted smells.
  • Check linen, towels, crockery and supplies against guest numbers and the property standard.
  • Make sure rubbish is removed, equipment is stored and staff belongings have not been left behind.
  • Close windows, switch off unnecessary lights and set the climate controls as instructed.
  • Check keys, check-in instructions and the entrance door lock within your assigned responsibilities.
  • Take the agreed after-cleaning photos of the bedroom, kitchen, bathroom and entrance.
  • Send the checklist and photos to the manager and report faults before confirming the apartment is ready.

Cleaning quality checks before check-in

The manager checks the result against the property standard: clean rooms, sufficient linen and supplies, working appliances and guest access. Review lost property and damage separately using reports and before-cleaning photos. A completion mark from the housekeeper does not replace an inspection.

For any issue, specify the area, the expected correction, who is responsible and a deadline before check-in. After rework, request a new photo or inspection. If the issue cannot be resolved in time, the manager must agree on next steps before confirming readiness.

Photo evidence and damage

Agree on required shots in advance: room overviews, the made bed, kitchen, bathroom fittings and entrance. Each photo should show the whole area being checked; capture damage both close up and in context. Report defects openly and keep photos linked to the correct property.

Photos support remote review but cannot show smells, drainage performance or hidden surfaces. Use separate checks and periodic on-site inspections for these points. Keep photos with the task and review comments so corrections and their timing remain traceable.

Cleaning quality control in Operly

How to use a ready-made checklist in Operly

Choose a published checklist in the Operly library and copy it to your company. The copy is independent of the original template: adapt its name and items to your standards. Use this article as a reference when configuring your checklist; the page text is not imported automatically.

Assign suitable templates to a property, apply the required checklist to a cleaning task and assign it to a staff member with a readiness deadline. The employee opens their task, records completed items and attaches photos required for the property.

Once submitted, the manager reviews answers and photos, approves the work or returns it with comments. The task record keeps execution attempts, photos and review decisions so the team can revisit recurring issues.

Frequently asked questions

What does a short-term rental turnover clean include?

A turnover normally includes fresh linen and towels, cleaning living areas, the kitchen and bathroom, replenishing supplies and checking readiness. Window washing, deep upholstery cleaning and other periodic work should be agreed separately so the scope of each turnover remains clear.

How does a checkout clean differ from routine cleaning?

A checkout clean prepares the property for a different guest by a fixed deadline, including lost property, damage, inventory and every sleeping area. During an occupied stay, agree on routine cleaning with the guest; their food and belongings must not be treated as abandoned items.

How can cleaning quality be checked remotely?

Define consistent photo angles and review them alongside the answers for that cleaning task. Request a replacement if a photo is unclear. Photos cannot confirm smells or appliance performance, so supplement them with staff checks and occasional on-site inspections.

How do you create a housekeeper checklist for several apartments?

Start with a shared standard and add property differences: sleeping areas, appliances, supplies and photo angles. Describe an observable result, such as clean, dry crockery without chips. One template can serve similar apartments; different equipment calls for additional items or variants.

Can I download the short-term rental cleaning checklist?
